POSITION
Summary:
The Data & Donor Manager reports to the Vice President of Advancement and is responsible for the overall management of The University of Saint Mary's donor database (currently Raiser's Edge/NXT).
This includes managing data integrity, gift entry and acknowledgments, one-to-many donor stewardship, conducting query and list generation in support of donor appeals, documenting best practices and procedures to ensure efficiency and accuracy, as well as performing high-level database amendments with little supervision.
The Data and Donor Manager also assists with Advancement events, the department budget and various stewardship projects.
The Data & Donor Manager provides overall administrative support to the Vice President of Advancement.
Essential Functions:
Maintain confidentiality of all donor and alumni records.
Process and acknowledge all charitable gifts to the university.
Duties include accurately entering gifts in Raiser's Edge, reconciling finances with the Business Office, generating and mailing donor acknowledgement letters, and responding to donors who may have questions regarding their giving.
Maintain constituent records in Raiser's Edge.
Assist with grants through research, drafting proposals, and supporting documents.
Ability to perform high-level database procedures utilizing the RE Query module; assign and make updates to queries of constituent information, specifically but not limited to Assigned Appeals, Actions, Constituent Attributes, among other available fields.
Use best practice research to determine the appropriate data to track within the database and related coding to create more sustainable and accurate donor data Generate and provide accurate Constituent Lists, with appropriate exclusions, to support donor email and mailed appeals or other forms of communication, manage Consent related functionality and concerns, and process sign-ups.
Proactively determine donor trends and share them with the development team to develop opportunities for moves management to increase giving and re-engage lapsed donors.
Demonstrates an awareness and ability to think strategically about donor and/or gift-related fields, such as but not limited to, Campaign, Fund, and Appeal management and reporting within the Raiser's Edge/NXT.
Execute Imports and other Global Add, Change, and/or Delete functions with precision and accuracy, reviewing data before, during, and after task completion.
Help create and manage a robust donor stewardship program.
Manage gift entry of all donations (online and offline) into the Raiser's Edge/NXT, as well as create new donor records and/or make appropriate updates to current constituent records in a timely fashion.
Supervise 2-3 student ambassadors.
Assist Advancement team with operations and execution of events such as hosting donors with the President during athletic games, Alumni Reunion, Homecoming, and other events, as needed.
Manages the President's Christmas Vespers Dinner, on campus donor visits, etc.
Track Advancement budget, code invoices, and review the budget to ensure operations stay within budget.
Assist Advancement team with prospect research to identify new donors to bring into the moves management process.
Manage office supply inventory.
Assist with maintaining baseline stewardship projects such as Thanksgiving cards, Christmas cards, student thank you postcards, donor impact statements, ordering donor gifts, etc.
Schedule and coordinate appointments on behalf of Advancement team.
Will work special events including an occasional evening and/or weekend.
Perform additional duties as assigned.
REQUIREMENTS:
Bachelor's degree Commitment to the overall mission of the University of Saint Mary.
Effective interpersonal and communication skills.
Proficiency in MS Office Ability to complete accurate, detailed work Effective project management skills.
Ability to work some weekends and evenings for USM events Ability to maintain confidentiality with records and personnel matters.
Experience and ability to work with a diverse campus population.
PREFERENCES:
Previous experience in donor relations or event planning; preferably in a university setting.
Experience with donor databases preferably Blackbaud's Raiser's Edge, Online Express, and NXT.
Experience with online giving platforms preferably OneCause and BidPal.
Analytical skills to track data using a donor database to acquire, recover, retain, and upgrade donors.
Experience with Network for Good database is a plus.
